About Outcomes Rocket

Outcomes Rocket is a San Diego-based full-service marketing agency specializing exclusively in healthcare. The company helps healthcare businesses clarify their positioning, identify product-market fit, and build commercial systems that generate pipeline. Their go-to-market motion combines inbound (podcast, conferences, referrals) with a growing outbound email and LinkedIn practice built on Clay, Lemlist, and Attio. For a healthcare marketing agency, getting the Attio CRM optimization and outbound stack setup right is what separates a team generating pipeline from one relying entirely on referrals.

The Challenge

Outcomes Rocket had just transitioned from HubSpot to Attio, bringing across their contact list via a CSV export. With three users on the platform and no prior CRM expertise, the team knew what they wanted to build but not how to build it correctly in Attio.

Four things needed solving:

No structured pipeline. The team had contacts and companies in Attio but no deal stages, no pipeline logic, and no view that showed where opportunities actually stood. Deals were being tracked informally, without a consistent stage definition or lifecycle.

No outbound infrastructure. Inbound through podcasts and conferences was the primary lead source, but the team wanted to build a parallel outbound motion. No Clay setup, no Lemlist account, no enrichment workflow - and no clear methodology for building one without wasting time on trial and error.

Sales calls tracked as a custom object. The team had built a workaround using a custom object to count sales calls per rep per week. The system was not scalable and not connected to how Attio natively tracks interactions.

Apollo in the stack with no workflow. The team was already paying for Apollo but had no systematic process for enriching leads and routing them into sequences.

Our Approach

Novlini delivered a two-day implementation, working directly with the founder and his sales assistant.

CRM Restructure

Full audit of the existing Attio setup. Deal stages redesigned from scratch: Discovery, Proposal Sent, Negotiation, Closed Won, Closed Lost - with deal creation triggered at the discovery call stage, not before. The custom sales call object was retired in favor of Attio's native calendar interaction tracking, which automatically counts and attributes meetings without manual entry.

PandaDoc connected to Attio for proposal and contract generation: a proposal can be generated directly from a deal record with client data pre-filled. Contract status syncs back to Attio when signed.

Apollo Integration

Native Apollo to Attio integration configured: from a company record in Attio, the team can enrich contacts from Apollo directly without leaving the CRM. Credits are consumed only for the specific enrichments requested, not on a bulk basis.

ICP definition session held to define the target profile for outbound: healthcare organizations, specific buyer personas, and the contextual signals (conference attendance, podcast mentions, job postings) that indicate timing.

Outbound Stack

Lemlist account set up with dedicated sending domains and email warmup configured. First outbound sequence written and launched. Clay introduced as the enrichment and personalization layer for future list building - the team now has the architecture to run outbound at scale without depending solely on inbound channels.

Technology Stack

  • Attio - CRM, pipeline, native meeting and interaction tracking (source of truth)

  • Apollo - contact enrichment, integrated from Attio

  • Lemlist - outbound email sequencing

  • PandaDoc - proposal and contract generation, connected to Attio

The Results

Outcomes Rocket went from a flat contact list and an unscalable custom object to a structured CRM with an outbound motion ready to run.

  • Deal pipeline operational - structured stages, deal creation logic, and native meeting tracking replacing the custom object workaround

  • Apollo enrichment accessible from Attio - contacts enrichable in one click, credits consumed only on demand

  • First outbound sequence live - Lemlist configured, warmed, and first campaign launched

  • PandaDoc connected - proposals generated from Attio, contract status syncing back

  • Outbound architecture defined - ICP documented, Clay introduced, stack ready to scale

"Enjoyed working with the Novlini team for our CRM setup and outbound stack. They took something we didn't know how to do and made it practical and actionable. Great experience."

Why It Matters

Marketing agencies that serve a single vertical have a paradox: they know how to build GTM systems for their clients, but often don't have the time or the objectivity to build one for themselves. Getting an external team to set up the Attio CRM, the Apollo integration, the Lemlist outbound stack, and the PandaDoc contract workflow in two focused days is a better use of founder time than spending months figuring it out incrementally.

For any B2B agency or professional services firm looking to connect Attio with Apollo, Lemlist, and PandaDoc and launch their first structured outbound motion, this is what a fast, practical implementation looks like.
